One Central Principle: Everything Goes Through an Inbox
At the heart of Paperless-NGX is the inbox. Every newly arriving document—regardless of how it enters the system—lands there first. This separation is deliberate:

In everyday use, this creates clarity. New documents are immediately visible, deliberately processed once and then automatically filed in the right place.

Paperless-NGX supports different input channels without changing the subsequent process.
1. Scan Folder on the NAS
The classic approach uses a monitored folder. Scanners or multifunction devices place documents there, and Paperless processes them automatically. Suitable for:
- postal mail
- contracts
- larger batches of documents
2. Email Integration as an Equal Input Channel
One key feature is email integration. Paperless can:
- retrieve mail from a dedicated mailbox
- automatically extract attachments
- treat documents received by email in the same way as scanned documents
This means digital correspondence can also be fully integrated into the document workflow—without switching between media or systems.

3. Upload via the Web Interface
Individual documents or manual follow-up work can be uploaded by drag and drop. It is an unspectacular feature, but an important one for staying flexible.
4. Mobile Scanning via Smartphone and Drive
Combined with Synology Drive, the scan inbox can also be used on mobile devices. Documents can be scanned and saved directly through the Files app and then automatically arrive in the Paperless inbox. This is particularly useful for receipts or documents created while on the move.
Automated Classification as a Core Feature
A central feature of Paperless-NGX is automated classification. After a short learning period, the system reliably recognises:
- correspondents
- document types
- recurring structures
- date and reference fields
Manual adjustments do more than correct individual results: they feed directly into future decisions. The system becomes measurably more accurate over time. This ability to learn turns Paperless from a simple filing system into a genuine assistance system.

Metadata, Full-Text Search and Structured Information
All documents are processed using OCR and become fully searchable. In addition, Paperless consistently works with structured metadata:

Paperless allows you to create custom fields to represent domain-specific information. Typical examples include:

and use them as a personal home page. After logging in, you immediately see what matters in everyday use rather than simply “all documents”.

Paperless allows you to share documents:

Control remains within the system:
- no uncontrolled forwarding of files
- no copies outside the archive
This is particularly useful for queries, approvals or exchanging documents with third parties.
Multi-User Operation and Security
Paperless-NGX is fully multi-user capable. It supports:

- separate visibility of documents
- integration of multi-factor authentication (MFA)
This makes the system suitable not only for individuals, but also for families or small teams—without sacrificing clarity or security.
